Advising Friends of the Earth on a long term strategy for their London headquarters. The initial brief was to appraise a relocation option put forward by a friendly developer. Expert high-lighted both practical issues in relation to the design but also that it did not meet their operational needs.

Expert recommended a consulting exercise to understand better the business dynamics and need for premises. His recommendation included a review of the existing premises to ascertain whether short term improvements could be made to improve operational efficiency in a building that was generally regarded as an inhibitor. His process enabled the organisation to consider how it worked together in a way that had not been considered or discussed before. It enabled a recognition that working practices have changed, and that the business process of each department meant that the type of accommodation required was very different from either the existing space or the proposed new build.

As an interim conclusion he provided a study identifying options to reduce their initial space requirements by 37%, through improved and enabled team and collaborative working staff. This will have a huge positive impact on achieving their goal of reducing their carbon footprint by reducing space related emissions. To facilitate a transition towards this change he ran staff training workshops within the organisation on flexible working and improved space utilisation.

Currently he has been providing advise on developing an exit strategy from the current building given the peculiarities of the existing lease.Professional services provided: Estates and accommodation planning; Workspace reviews; Lease reviews; Strategic advice; Operational planning; Advice on lease acquisition and regearing.

Reporting to the Directors’ Team (CEO, Heads of HR, Finance, Operations and Fundraising), Expert undertook a strategic review of the 16,500 sq ft of London head office and workspace used in relation to future business planning, leading workshops with senior team leaders, evaluating data, producing financial modelling and reporting by way of formal presentations to Directors’ Team meetings.

He started advising this leading and rapidly growing humanitarian charity in relation to its view that it needed more office space because of pressure on meeting space. He ascertained a need to properly consider, forecast and manage staff growth from 156 to develop an appropriate strategy to address accommodating its varying growth forecasts of 20-60 people over the next 5 years. He undertook a bespoke consulting process with senior managers and team leaders to identify the underlying operational issues and requirements in relation to the current use of space. This identified that many of the teams work flexibly and that recognition and support for flexible working would enable the existing space to be re-planned to provide sufficient growth space. The issue of meeting room usage was also solved by providing analysis of room usage and creating awareness with team leaders so that they could manage their teams more effectively.

The lease review identified a tenant break clause and an opportunity with an otherwise “upwards only” rent review clause, to potentially get a lower rent. The break clause wording is not ideal from a tenant’s perspective and we believe that following our advice the client is seeking to improve its terms of occupation as part of a relocation and/or lease re-gearing exercise. As part of this there is a negotiation underway to draw down a further 5,000 sq ft should that be required.
